Terms and conditions

These are the terms (the “Agreement”) that govern your attendance at and/or participation in the Maximum Occupancy Conference event (the “Event”). By registering for the Event you are agreeing to these terms, which form a legal contract between Maximum Occupancy, and the registered attendee and/or participant (“you”).

1 General Requirements

1.1 Admittance

Your registration entitles you to admittance to the event for which you have registered. Any and all other costs associated with your attendance (including without limitation travel and accommodation expenses) shall be borne solely by you, and Maximum Occupancy shall have no liability for such costs.

1.2 Use of Likeness: Photography and Video Consent

We love to share what happens at the Event and throughout the day will take photographs or videos. They may be used in a number of mediums including publications and promotional material. With attendance of the conference event, you agree to allow us to use and publish a photograph and/or video which may contain an image of you in any of our publications. You should be aware that by us publishing the photograph and/or video on the internet, it will be accessible to the public and other internet users and we will have limited control over its subsequent use and disclosure.

1.3 Event organisers' rights

You acknowledge and agree that Maximum Occupancy, in its sole discretion, reserves the right to change any and all aspects of the event, including but not limited to, the event name, themes, content, program, speakers, attendees, performers, hosts, moderators, venue, and time. Maximum Occupancy also reserves the right to limit the number of industry-affiliated suppliers or vendors attending the trade show; and reserves the right to prohibit entry of any person or limit the number of attendees at the trade show for any reason at any time.

1.4 Age Requirements

No one under the age of 21, including children in strollers accompanying their parents, will be admitted.

1.5 Identification

All attendees must prove their affiliation with the company name appearing on their registration (business card etc.).

1.6 No Suitcasing

“Suitcasing” refers to the practice of attending a trade show but “working the aisles” from a suitcase or briefcase, soliciting business from other attendees and exhibitors. For the good of the show and the exhibitors supporting the show, the only legitimate place to conduct business during show hours is within a contracted exhibit space on the show floor. Exhibiting companies are encouraged to protect their investment and report any violations to Maximum Occupancy management. Attendees observed soliciting business in the aisles or other public spaces, or in another company’s booth, will be ejected from the event and may be banned from future events in Maximum Occupancy’s sole discretion.

2 Other Terms & Conditions

Any amendments and/or cancellations must be notified in writing to the Maximum Occupancy Accommodation Industry Conference 2023 organisers at adrian.caruso@fastrackg.com. Cancellations received in writing before 30 April 2023 will be refunded in full less an administrative fee of $80. Cancellations received after that date will not receive refunds unless exceptional circumstances prevail, which are solely at the discretion of the organisers. Cancellation charges and administration fees will be incurred and payment will be sought regardless of whether your attendance costs have been paid at the time of your cancellation. All refunds will be processed after the conference has taken place.

Substitute delegates are welcome without penalty, but please advise the meeting organisers of any name changes.

In the event that the conference is cancelled by the organisers, or by any reason of any factor outside the control of the organisers, the conference cannot take place; the amount of the Registration Fee (less any administrative costs) shall be refunded. The liability of the organisers shall be limited to that refund and neither shall be liable for any other loss, cost or expense, however, caused, incurred or arising. It follows that delegates and accompanying partners are advised to take out comprehensive insurance, including travel insurance.

Non-payment of any invoice issued will be passed onto a collection agency. Any collection costs incurred will be the responsibility of the debtor.
